Invoice PDFs and Printing

Every invoice, estimate and credit note has a PDF that looks like the page your customer sees. Here is where it is attached, where to download it and how to print.

The short version

Sent invoices are attached to the email as a PDF. You and your customer can download it again from the invoice page. Use Print to print the sheet.

Overview

What the PDF is

The PDF is the same sheet your customer sees on the invoice page, with the status ribbon and Powered by TimelyDo at the foot. It uses the template, logo, font and colour saved with the invoice. See Templates, logo and colours.

A draft has no PDF. Use Print or save as PDF in the preview instead. The PDF is made when it is asked for, so it shows the current status, such as Paid.

Which language

The PDF uses your customer's invoice language. If the customer has none, it uses yours. On the customer page, the language they switch to is used for the PDF they download. See Customer language.

Setting it up

Where it is attached

DocumentAttached to
InvoiceThe invoice email, if Attach the invoice as a PDF is ticked (it is by default), and every reminder.
EstimateThe estimate email.
Credit noteThe credit note email.

Files you add under Attachments in the editor are different. They are extra files such as a timesheet, and they go with the invoice email too. See The invoice editor and autosave.

Where to download it

  • You: Download PDF on the invoice page, and on each row of the estimates list. A credit note has a PDF link in the credit notes card on its invoice.
  • Your customer: Download PDF on the invoice or estimate page. Credit notes shown under the invoice have their own PDF.
  • Many at once: on the invoices list, tick the rows you want and select Download N PDFs. You get one zip file with up to 50 invoices.

While the file is made the button says Preparing PDF. If it fails, wait a minute and try again, or use Print.

Getting paid

Printing

Select Print or save as PDF above the live preview in the editor. On the customer page the button is called Print. Both open your browser's print window. Choose Save as PDF there if you want a file. Only the invoice sheet is printed, not the buttons around it.
