Estimates, Repeating Invoices and Billing Your Time

Four ways to start an invoice without typing it from scratch: from an accepted estimate, on a schedule, from a booking, or from the hours you logged.

The short version

Each of these makes an ordinary invoice, numbered and sent with the same checks as any other. Find them on the Invoices page: Estimates, Repeat this invoice, From a booking and Time.

Estimates

Sending an estimate

Write the offer in the invoice editor as usual, then select Send as estimate instead of Send. It gets its own number, such as EST-2026-0001, and a date it is valid until: 30 days unless you change it. Sending an estimate does not need Stripe.

Your customer gets an email with a link to a page where they can select Accept estimate, with their name if they like, or Decline with a reason. You get a notification either way.

Turning it into an invoice

Open Estimates. For an accepted estimate select Make invoice: a draft invoice opens in the editor with exactly what you offered. Check it and send it. From the same list you can copy the link, email the estimate again or void it.

What accepting means differs by country. TimelyDo records the click, the name typed and the time. Whether that makes a binding contract depends on where you and your customer are.
Repeating invoices

Repeating an invoice

Open an invoice you have sent and choose Repeat this invoice from its menu. Pick how often (every so many weeks, months or years), the first date and, if you like, an end date.

On each date TimelyDo makes a new invoice copied from the original. Choose whether each one is sent by itself, or left as a draft for you to check; you get a notification either way. Pause, resume or end a schedule on the Recurring invoices page.

Months are handled for you. A schedule that starts on the 31st lands on the last day of shorter months, and back on the 31st when the month has one.
Bookings and time

Invoicing a booking

On the Invoices page select From a booking and pick one of your confirmed bookings. A draft opens with the guest as the customer and the event as the item, at its price. An event without a price becomes an hourly line for you to fill in.

A booking can only be invoiced once. A booking your guest already paid for online through TimelyDo cannot be invoiced, so nobody is charged twice.

Billing your time

Open Time and select Log time: the customer, the date, the hours and what you did. Hours not yet invoiced are listed per customer. Select Invoice all, or choose some entries, enter your hourly rate, and a draft opens with one line per entry.

An entry on an invoice cannot be changed or invoiced again. If you remove the line or void the invoice, the entry is free to invoice again.

Help

FAQ

Can I change an estimate after sending it?

No. Void it and send a new one.
Q

What happens if a repeating invoice cannot be sent?

It stays as a draft and you get a notification saying why, for example when a limit was reached.
Q

Does a schedule make up for dates it missed while paused?

No. When you resume it, it continues from the next date.
