The short version
Open the invoice and select Record a payment. Enter the amount, the date and how you were paid. Tick Email a receipt to the customer if you want them to have one. Reminders stop once the invoice is fully paid.
When to record a payment
Use it for money that did not come through the Pay by card button: a bank transfer, cash, a cheque or a card machine. Card payments made on the invoice page are recorded for you.
The button is on the invoice page whenever the invoice is open and something is still due. You can also record money on an invoice you wrote off, if it arrives late.
The fields
| Field | What to enter |
|---|---|
| Amount | What you received. It cannot be more than is still due. The dialog says how much is due. |
| Received on | The day the money arrived. Today by default. |
| Paid by | Bank transfer, Cash or Other. |
| Reference | Optional. For example a transfer reference. |
| Note | Optional. Only you see this. |
| Email a receipt to the customer | Sends your customer a receipt. Shows their email under it. |
Then select Record payment. You see Payment recorded, or Payment recorded. A receipt is on its way when you ticked the receipt box.
Partial and full payments
Enter less than the amount due and the invoice becomes Partly paid. The rest is still due and reminders continue. Enter exactly what is due and the invoice becomes Paid, and reminders stop.
You can never record more than is due. If a customer overpaid, record what the invoice owes and give the rest back yourself.
On an invoice with a payment plan, payments fill the parts in date order, whatever their size.
The receipt
The receipt is an email from Timelydo to your customer, in their language, with the amount and what is left. It goes only when the customer has an email address and you tick the box. It is optional, so you can record a payment quietly.
The invoice page lists it under Emails as a Receipt, and the activity adds Receipt sent.
Where it shows
- On the invoice page, under Payments: the method, the reference, the date and the amount.
- In the activity timeline as Payment recorded.
- On your customer's invoice page, in the history, and in the invoice amounts.
- In reports and the CSV export as money collected on the day you entered, in your time zone.
Recorded by mistake
Next to a payment you entered by hand there is Remove. The invoice then owes the amount again and the activity keeps a note that a payment was removed. You cannot remove a card payment, a payment that was refunded, or a payment on an invoice that has a credit note.
