Invoice Settings

What every invoice starts from: who it comes from, how it is numbered, when customers are reminded, and the products and tax rates you use again and again.

The short version

Open Invoicing, then Invoice settings. Fill in Your business once, choose your defaults and numbering, and add the products and tax rates you use. One Save button saves the page and says which sections have changes.

Who it comes from

Your business

Choose whether you invoice as an individual or as a business, then add your name, an optional trade name, your billing email, phone, website and address. The address fields follow your country.

An invoice cannot be sent without your name, street, city and country. The checklist in the editor says what is still missing.

Tax numbers

Add the type and the number you print on invoices, for example your VAT number. A second tax number is optional and printed under the first.

In Germany put your USt-IdNr. as the first number and your Steuernummer as the second. The invoice then names both.
Starting points

Invoice defaults

The currency, payment terms, default hourly rate, notes, payment instructions and footer a new invoice starts with. You can change each of them on any invoice.

When no currency is chosen yet, the currency of your country is suggested. Payment instructions are your bank details for customers who pay by transfer: they print on every invoice and show in the editor, so they never have to go into the terms.

Saved tax notes are lines in your own words, for example for reverse charge or an export. On an invoice without tax, each one is a single click under the tax note. TimelyDo writes no legal wording for you, so check yours with your tax adviser. You can keep up to ten.

Numbering

An invoice gets its number when it is sent, so a deleted draft never leaves a gap. The pattern is made of a prefix and placeholders:

PlaceholderBecomes
{prefix}Your prefix, for example INV
{YYYY} or {YY}The year, and the counter starts again each year
{MM}The month, and the counter starts again each month
{####}The number, with 3 to 8 digits

Credit notes and estimates count on their own, with CN and EST in place of the prefix. Moving from another tool? Enter your next invoice number under Next invoice number. It can only go up.

Reminders

Reminders go out by email on the days you choose around the due date, by default 3 days before, on the due date, and 3, 7 and 14 days after, in the morning of your time zone. The invoice editor shows which reminders a new invoice will get.

An invoice gets at most one reminder a day. On the invoices list you can tick several invoices and send them all a reminder at once.

Things you reuse

Products and services

Save what you invoice again and again with its price, currency and tax rate, as a product or service or as hourly work. In the editor, From your catalog adds it as a line. A line you typed can be saved to the catalog with the bookmark button on the line.

An item priced in another currency can still be used: its name, details and tax are copied and you enter the price in the invoice currency. Archive what you no longer use. An archived item can be deleted for good.

Importing from a spreadsheet

Select Import CSV and choose a file with a column called name. These columns are read when they are there: price, currency, kind (item or hourly), description and tax (a percent or the name of one of your rates).

Prices can be written as 1250.00 or 1.250,00. Every good row is added, a row that cannot be used is skipped and listed with the reason, and a file can be imported again: rows already in your catalog are skipped.

Tax rates

Add the rates you charge with a name and a percentage, and say whether your prices already include the tax. The default rate is used on new lines. While you have no rates, TimelyDo offers the usual rates of your country with one click, as ordinary rates you can change.

A rate missing on an invoice can be added from the tax list of the line. Archive a rate you no longer use. An archived rate can be deleted for good while no invoice or product uses it.

Saving your changes

One Save button saves the whole page. Next to it you see which sections have changes not saved yet, and leaving the page with unsaved changes asks first. Products and tax rates save on their own as soon as you add or change them.

Help

FAQ

Q

Why can the next invoice number only go up?

So no number is used twice and numbers stay in order, which many countries require. Choose the number your next invoice should have when you move from another tool.
Q

Does changing a default change my drafts?

Defaults are what a new invoice starts with. Drafts and sent invoices keep what they have.
Q

Does TimelyDo decide which tax applies?

No. TimelyDo adds up the rates you enter. Which tax applies to you is a question for your tax adviser.
