Tax and Electronic Invoices

TimelyDo prints the tax you choose and keeps your numbers in order. It does not decide your tax, and it does not connect to any national electronic invoicing system.

The short version

You are the seller and you are responsible for your invoices. Enter the tax rates you charge, check the rules of your country, and ask a tax adviser when you are unsure.

Tax

What TimelyDo does with tax

TimelyDo doesTimelyDo does not
Prints the rates you enter, such as VAT, GST or sales taxTell you which rate to charge
Works out the tax on each item and the totalsDecide reverse charge, exemptions or where tax is due
Prints your note when an invoice has no taxGive tax advice
Checks the form of a tax number, and EU VAT numbers with the EU serviceFile or report anything to a tax office

Add your rates in Invoice settings under Tax rates, and choose one on each item. On each invoice you choose whether prices include tax, have tax added, or have no tax with a note that says why.

Numbers and changes

Invoices are numbered in an unbroken series and cannot be changed once sent. To correct one, issue a credit note, which has its own series. In German the app calls it Rechnungskorrektur. What a credit note must show differs by country.

Electronic invoices

National electronic invoicing

A growing number of countries require invoices as structured files, or to pass through a government system, for some or all businesses. Examples are Italy (SDI), Poland (KSeF), Belgium (Peppol), France, Germany (XRechnung and ZUGFeRD), India, Mexico, Saudi Arabia and Malaysia.

TimelyDo does not connect to any of these systems, and its PDFs are not structured electronic invoices. If the rules of your country apply to you, use a service that does this for those invoices.

If your business country has such a system, the Invoices page and Invoice settings show a short notice with the facts and the date. The electronic invoicing rules page lists every country we track, with links to the official sources. We review it every 15 days. Whether the rules apply to you depends on your size, registration and customers, so check with your tax adviser.

Spain: VERI*FACTU

From 1 January 2027 for companies and 1 July 2027 for everyone else, invoicing software used for Spanish tax purposes must meet the VERI*FACTU rules. TimelyDo is not a VERI*FACTU system. From those dates, invoices for Spanish tax purposes need software that meets these rules.

Fees and terms

Who pays the card fee

You do, always. Adding a card fee on top of the invoice is called surcharging, and it is banned for most consumer cards in the EU and the UK and restricted elsewhere, even when shown openly. So TimelyDo never adds a fee for your customer. They pay exactly the invoice amount.

The invoicing terms

Before an invoice, an estimate or a repeating schedule goes out, you are asked to accept the invoicing terms. They say, in short, that you are the seller and responsible for your invoices and tax, and what TimelyDo does and does not do. If you ticked Do not show this again, you are only asked again when the terms change.

Help

FAQ

Q

Does TimelyDo send my invoices to the tax office?

No. TimelyDo connects to no national system and reports nothing to any tax office.
Q

Can I use TimelyDo invoices in Germany?

Germany requires businesses to be able to receive electronic invoices, and to send them between businesses step by step from 2027. TimelyDo does not make XRechnung or ZUGFeRD files. Check with your tax adviser which of your invoices this applies to.
Q

Can my customer pay the card fee?

No. You pay the card fee and the customer pays the invoice amount.
