Your Business Details on Invoices

Your name, address and tax number appear at the top of every invoice. Here is every field and what you must fill in before sending.

The short version

Open Invoice settings and choose Your business. Add your name, street address, city and country. Select Save. Those four are all you need to send.

The section

Where to find it

Choose Invoicing, then Invoice settings in the sidebar. The first section is Your business, described as what is printed at the top of every invoice. One Save button at the top covers every section. A blue dot on a section means unsaved changes, an amber dot means details are missing before you can send, and a red dot means an error.

What is required to send

An invoice cannot be sent without these four things:

  • Your name (the legal name, or a trade name)
  • Street address
  • City
  • Country

When something is missing, an amber box reads To send an invoice, add: and lists it. The editor shows the same list in its checklist. Everything else on this page is optional.

A sent invoice keeps what it showed. Your business details are copied onto the invoice when you send it. Changing them later never changes an invoice that is already out.
The fields

Every field

FieldNotes
You invoice asA business or An individual. For a business the name field is called Legal name, for an individual it is Your name.
Legal name or Your nameUp to 160 characters.
Trade nameShown on invoices instead of the legal name when you fill it in.
Billing emailWhere customers can write to you. Replies to invoice emails go to you.
PhoneOptional.
WebsiteOptional. Up to 200 characters.
CountryRequired. Choose it from the list. The address fields change with the country.
Street addressRequired. After three letters, Timelydo suggests addresses; pick one to fill in the rest.
CityRequired.
Postal code and RegionOptional. Region (state or province) is shown for countries that use it.

Tax number and second tax number

Choose a Tax number type (None, VAT, GST, ABN, EIN or Tax ID) and type the number. It can be up to 40 characters.

Timelydo checks only the shape of the number for your country. If it looks wrong you see This does not look like a tax number from your country. You can still save it. It is a warning, never a block. The same goes for a postal code that does not look right.

There is also a Second tax number (optional), printed under the first. In Germany, put your VAT number (USt-IdNr) in the first field and your Steuernummer in the second.

Good to know

Saving and leaving

If you leave Invoice settings with changes that are not saved, Timelydo asks whether to leave or stay. Nothing is saved by surprise, and the bar says which sections are waiting, for example Not saved yet: Numbering, Invoice defaults.

Your logo is not set here. It comes from your branding settings, see Invoice Defaults and Your Logo.

FAQ

Q

What do I need to fill in to send an invoice?

Your name, street address, city and country. Everything else is optional.
Q

Why do I see a tax number warning?

The number does not match the usual shape for your country. It is only a warning. You can still save and send.
Q

Can I show two tax numbers?

Yes. The Second tax number field is printed under the first. In Germany, use the first for your USt-IdNr and the second for your Steuernummer.
Q

Does changing my details change old invoices?

No. Each invoice keeps the details it had when you sent it. Only new invoices use the new details.
