The short version
A package is a number of sessions that a client pays for once and books with a credit. Create packages on the Packages page and give credits to clients who have paid you. A credit comes back on a fair cancel, so nothing is lost.
What a package is
A package is a number of sessions that a client pays for once. Each session is a credit, and one credit pays for one booking. The client does not need an account: they are known by their email address.
You create packages on the Packages page. A client who holds credits books one of your paid events with a credit instead of paying again. If the booking is canceled in time, the credit comes back, so nothing is lost.
Creating a package
Open Packages in the sidebar and select New package. A panel opens with the fields below. The card at the bottom shows how the package will look to a client while you type.
Name
What it does. The name of the package, for example 5 coaching sessions. Up to 120 characters.
What the client sees. It is the title of the package wherever clients see it.
Good to know. The name is copied when a client receives credits, so renaming the package later does not change what they already hold.
Sessions
What it does. How many bookings the package holds, from 1 to 100. One credit pays for one booking, and one booking is one seat.
What the client sees. The number of sessions on the package card and the credits left in their balance.
Good to know. A client who books two seats at once needs two bookings, so two credits.
Valid for (days)
What it does. How long the credits can be used after the client received them, from 1 to 1095 days (three years).
What the client sees. The date until which the credits can be used.
Good to know. The last day itself is still usable. After that the unused credits expire. See Expiry below.
Price
What it does. What the client pays once for the whole package, in the currency next to it. The price per session is worked out for you and shown on the card.
What the client sees. The price of the package.
Good to know. The currencies offered are the ones your payments account supports. A price too low for a card payment is refused when you save.
Works for
What it does. Which events a credit can be used for: all your events, or the ones you pick.
What the client sees. A client can only use a credit on those events.
Good to know. If you pick events, you must pick at least one. Credits are used on events that charge, and not on events with a late fee or single use links.
On sale
What it does. Turns the package on or off for new sales.
What the client sees. A package that is not on sale cannot be bought.
Good to know. Clients who already hold credits can keep using them.
Selling a package
Every package has a page of its own. On the package card, select Copy link and share it by email, in a message or as a link on your website. View page opens it, so you can see what a client sees.
A client opens the link, enters their name and email, and pays by card. The credits are theirs as soon as the payment is confirmed. The page then shows their credit code and a list of your events, so they can book their first session at once, with their email and code already filled in. The code and a link to their balance are also sent to their email.
A package that is not on sale has no page: its link says that it is not available. Clients who already hold credits can keep using them. Buying needs your payments account to be connected.
Giving credits to a client
When a client has paid you in another way, select Give credits. Enter their Email, the number of Sessions and how many days they are valid. The client then shows in Who holds credits.
The client gets an email with their code and a link to their balance. You can also see their Credit code, the credits left and the history by opening the client's row.
How a client spends a credit
On the booking form of a paid event the client chooses Use a credit, enters their email address and the credit code, and books without paying again. The email address alone never spends credits: the code and the email must both match.
- One credit covers one booking, which is one seat.
- An event that needs your approval holds the credit while the request waits. A decline gives it back.
- Credits cannot be used on events with a late fee or single use links.
When a credit comes back
Credits are not lost on a cancel the client is entitled to:
- The client cancels while the cancel rule of the event still allows a full refund: the credit comes back.
- You cancel the booking, or a request is declined or expires: the credit always comes back.
- The client reschedules: the credit follows the booking to the new time.
- The client cancels late, does not show up, or the meeting took place: the credit stays used. You can add it back with Correct the balance.
Expiry
Every night, credits that are past their last usable day expire. The last day itself can still be used. A credit that comes back after the package has expired is usable for 30 more days, then it expires too.
Correcting a balance and refunding
Open a client's row and use Correct the balance to add or remove credits. Enter the change and a reason. Every correction is written to the history.
For a package the client paid for online, Refund unused credits gives money back for the credits left, at the price per credit rounded down. Credits that were already used are not refunded.
Limits to know
- Buying a package online needs your payments account to be connected.
- A package sale does not create an invoice.
- One credit pays for one booking: events with seats, add ons or tips are not covered by credits yet.
- Changing a package later does not change what clients already hold, because they received a copy.
