The short version
A course is an event with dates you choose. People can book one session, or join all of them at once. Switch it on from the Bookings page of the event, add your dates, and watch the seats fill.
What a course is
A normal event takes its times from your weekly hours. A course takes its times from you. You pick the dates, for example every Tuesday at 18:00 for eight weeks. Each date is a session.
Everything else works like any other event. Seats, payments, refunds, reminders and your calendar behave the way they already do. A session is booked like any time of the event.
Making an event a course
Open the event and go to its Bookings page. Find the panel called Course or drop in classes. It appears when the event has more than one seat, or when it already is a course. If you do not see it, raise the number of seats first. The Bookings tab article shows where seats are set.
Select Make it a course. The panel now shows what you sell, the price, your sessions and the roster.
Adding dates
Under Add dates choose the First session, the Length in minutes, How often and How many sessions. Select Add sessions. You can add more dates later, for example after a break.
The time of day stays the same all year, also when the clocks change. A session that nobody has booked can be removed with Remove.
Single sessions or the whole course
Two switches decide what people can buy. People can book a single session lets them pick one date and book it like any other time. People can enroll in the whole course lets them take a place in every session in one go.
You can switch either one off. Turn off single sessions and the course can only be bought as a whole.
Price and paying once
A single session costs what the event costs. The whole course has its own price. Enter it in Price of the whole course, as an amount such as 120 or 120.50.
The person pays once, by card, and gets a place in every session. If the event is free, the whole course is free too. Switch the event to card payments to charge for it. See Pay by card and fees for how card payments and fees work.
Seats and the roster
Each session shows how many seats are taken, for example 8 of 12 seats. The number of seats comes from the event. A full session is not offered to people who book a single date.
Open Roster and attendance on a session to see who is coming. After the session, mark each person Present or Absent.
Calling off a session
Select Call off on a session. The session stays in the list as Called off. The panel tells you how many bookings it will cancel before you confirm.
Every booking of that time is canceled by you. If someone paid with credits from a package, the credit goes back. Other bookings are refunded by their own refund rules. A session nobody booked can simply be removed.
What the person who books sees
On the booking page they see the usual times, one for each session that is still ahead and not full. If you allow it, a switch called Join the whole course shows the sessions, how many seats are left in each and the price.
They turn the switch on and select Enroll in all sessions. They get one email with every date. If a session is full, the page says so and suggests booking one time instead. Someone who joins late gets the sessions still ahead, at the full price.
Refunds and credits
Paying for a course buys one credit for each session. When the payment goes through, TimelyDo uses a credit to book each session.
If a seat was taken while the person was paying, nothing is booked and the whole payment goes back to them, fee included. They get an email about it. A person can cancel one session or all upcoming sessions from their cancel page. Canceling the whole course does not refund the money by itself. The unused credits are given back, and you can refund them from Packages.
Limits to know
Seats are not held while someone pays. Another person may take the last seat first. The first person is then refunded in full.
Sessions that nobody booked do not block your other events. There is no reminder just for a course and no waitlist for a full session. People who book a single time can use the waitlist of the event.
