The short version
Open Customers in the sidebar and choose New customer. A name is enough to save. Add an email, address and tax number when you are ready to send. A customer with invoices is archived, never deleted.
The customer list
Open Customers in the sidebar. The list has two tabs, Active and Archived, each with a count. Use the search box to find a customer by name, contact person, email or tax number. Sort by name or by newest first. The list shows 25 customers a page. On a phone each customer is a card instead of a table row.
Each row shows what you billed that customer and what they still owe, so you can see who to chase at a glance.
Add a customer
Choose New customer. You can also add one while you write an invoice, with New customer in the customer picker, without leaving the editor.
Without an email you can still write and save invoices. You only need the billing email to send one by email.
What each field means
| Field | What it does |
|---|---|
| Customer type | Business or Individual. A business has a Business name and a Contact person. An individual has a Full name. |
| Billing email | Where invoices are sent. Needed to send by email. |
| Phone | For your own reference. |
| Invoice language | The language of everything this customer gets. It starts as your own language. See Customer language. |
| Billing address | Country (starts as yours), Street address, Address line 2, City, Postal code and Region. It is printed on the invoice. |
| Tax number type and Tax number | Printed on the invoice. EU VAT numbers are checked for you. See Check EU VAT numbers. |
| Invoice currency | The currency new invoices for this customer start in. |
| Payment terms | Use my default, Due on receipt, or Net days. |
| Hourly rate | The price per hour for new hourly lines. Empty uses your default hourly rate. |
| Invoice template and Accent colour | How this customer's invoices look. Empty uses your defaults. |
| Internal notes | Only you see them. They are never printed on an invoice. |
Currency, payment terms, rate, template and colour sit under Tax and preferences. They only set the starting point. You can still change them on each invoice.
The duplicate warning
If the email or the name matches a customer you already have, you see This looks like a customer you already have with an Open it link. It is only a warning. You can still save, because two companies can share one mailbox.
The customer page
Select a customer to open their page. It shows:
- Contact details and the billing address. A warning appears when the postal code does not look right for the country.
- The tax number and its check status.
- New invoices start with: the currency, language, payment terms and template this customer gets.
- Internal notes.
- What is still missing before an invoice can be sent, with an Add them button.
- How much you billed and how much is still owed, and the customer's invoices.
- The Billing contacts and Customer portal cards.
Use Edit to change anything. Invoices you already sent keep the details they went out with.
Archive and restore
Choose Archive on the customer page. A message asks Archive this customer? and explains that they leave your list, and that you can restore them at any time. They move to the Archived tab.
To bring one back, open the Archived tab, select the customer and choose Restore.
