Managing Bookings and Attendees

Find, review and follow up every meeting of an event, and keep your own notes on the people who book.

The short version

Each event has a Bookings tab with your requests, upcoming and past meetings, and an Attendees tab with the people behind them. You can search, export, resend confirmations, book on behalf of a client and keep private notes and tags on each person.

Bookings

The lists

The four cards at the top are Requests (waiting for your answer), Upcoming, Past and Canceled. Under them, Recently Booked, Closed and Archived give other views. Closed holds requests that were declined or ran out.

Search by name or email in the box above the list. The date button opens one calendar where you pick a start and an end, or a quick range. By default there is no date limit, so you see everything.

What each row offers

Select a row to open it. You see the date, time, location, the time zone, the answers the booker gave to your form questions and your own meeting notes. The three dots open the actions:

  • Reschedule and Cancel for upcoming meetings.
  • Add meeting notes, a private note on this booking.
  • Attendee, to see everything this person booked.
  • Resend confirmation, which emails the booker their confirmation again. It is only offered for confirmed meetings that have not happened yet.
  • Copy booking link, the page where the booker can reschedule or cancel, ready to send to them.
  • Archive for past and canceled bookings, to tidy the lists. Archived bookings are under Archived.

Completed and no show

After a meeting, open its menu in the Past list and choose Mark as completed or Mark as no show. A badge shows it in the row, and you can take it back with Clear this mark. You can mark a no show as soon as the meeting has started.

The marks also count on the Attendees tab, so you can see who often does not come.

Exporting to a spreadsheet

The Export button offers This list (CSV), which follows your search, dates and the list you are in, and All bookings (CSV). The file has name, email, status, outcome, date and times, the booker's time zone, their answers, your notes and the reference of each booking.

Cells that start with a character a spreadsheet would read as a formula are stored as plain text, so a booker cannot hide a formula in their name.

Booking for a client

Select New booking. A window opens with the same booking page your clients see, with exactly the times they could book. Pick a time, enter the client's name and email, and confirm.

The booking is confirmed at once, even when the event asks for approval. The client gets the confirmation email, and the booking is marked as made by you in your Analytics. It is not available for events that take payment yet.

Attendees

The attendee list

The Attendees tab lists everyone who booked this event, with how many times, how many were canceled, how many were no shows, and the dates of their first and last meeting. People whose only requests were declined, ran out or are still waiting are not listed, because they have no booking yet. Export CSV downloads the list.

Private notes and tags

Select a person to open their panel. You can add up to 10 tags, each up to 30 characters, and a private note of up to 2,000 characters. Tags are saved in lower case. Only you can see them.

Notes and tags belong to the person and stay with them across all your events. The search box on the Attendees tab also finds people by their tags and notes. View bookings opens this event's Bookings tab searched for that person.

Help

FAQ

Q

Does the booker see my notes?

No. Meeting notes, attendee notes and tags are only visible to you.
Q

Why is someone missing from Attendees?

Only people with a booking are listed. If their only request is waiting, declined or ran out, they appear once a booking is confirmed.
Q

Does Resend confirmation email me too?

No. It sends the confirmation to the booker only.
Q

Can I edit an attendee's name or email?

Not from the Attendees tab. Cancel and rebook, or book again for the right address with New booking.
